Data backup for businesses: A complete guide to the 3-2-1 strategy
Published 11 April 2026 | Reading time: 6 minutes
Imagine arriving at the office in the morning and finding the server won't start. Accounting records, contracts, client databases, all gone. Sounds like science fiction? It isn't. We see this happen several times a year to companies that underestimate backups.
Loss of business data can be fatal. According to statistics, up to 60% of small businesses that lose their data cease operations within six months. Yet proper backup is neither complex nor expensive. Simply follow a proven strategy.
What is the 3-2-1 strategy?
The 3-2-1 rule is the gold standard for backups recommended by experts worldwide. It is easy to remember:
- 3 data copies: original plus two deposits
- 2 different refrigerants: for example, local disk and cloud
- 1 copy outside the workplace: deposit at a location other than the office
Why three copies? Because the probability of three independent storage locations failing simultaneously is practically zero. Why different media? Because a fire or flood could destroy all drives in one room. And why an off-site copy? To cover catastrophic scenarios, fire, burglary, flooding.
Local backup: NAS and external drives
Local backup is the first line of defence. It restores quickly and remains fully under your control.
NAS (Network Attached Storage) It is a network drive to which all computers in the office connect. Modern NAS devices from manufacturers such as Synology or QNAP offer:
- Automatic backup from all computers on the network
- RAID configuration: data survive the failure of a single disk
- File sharing between employees
- Remote access to files
- Encryption for the protection of sensitive data
The price of NAS for a small business starts at around 8 000 Kč per device plus the cost of disks (from 3 000 Kč each). An investment that pays off with the first problem.
External drives They are a simpler alternative for smaller businesses. You connect a USB drive and regularly copy important files to it. The drawback is that you must remember to do this regularly, and people forget.
Cloud backup: security beyond the office
Cloud ensures a copy of your data is stored off-site. Even if the entire office burns down, the data in the cloud remains untouched.
Most widely used cloud backup services for businesses:
- Microsoft 365 / OneDrive for Business: if you already use Microsoft 365, you get 1 TB of storage per user included in the price.
- Backblaze Business: unlimited deposit of approximately 200 Kč per month for a computer
- Veeam Backup: professional solutions for servers and entire IT environments
Cloud backup runs in the background and requires no action from employees. It is set up once and then operates automatically.
How often to pay advance instalments?
The frequency of backups depends on how much data you can afford to lose:
| Data type | Recommended frequency |
|---|---|
| Accounting, client database | Continuously (in real time) or daily |
| Working documents, emails | Daily |
| Server and network configuration | After every change |
| Archival materials | Weekly |
General rule: ask yourself how many hours of work you are willing to lose. If the answer is "not even one hour," make progress payments.
The most important step: recovery testing
A backup you cannot restore is not a backup. It sounds obvious, yet most companies never test their backups. Then they discover the backups are unusable precisely when they desperately need them.
We recommend testing recovery at least once every quarter:
- Select a random file or folder
- Try restoring it from a backup.
- Verify that the files are complete and legible.
- Measure how long the recovery took.
- Document the result
If recovery fails or takes too long, it is time to adjust the backup strategy.
Common mistakes when paying deposits
- Deposit on the same disc: if the hard drive fails, you will lose both the original and the backup
- Deposit only on a USB drive in the desk drawer: in the event of a burglary or fire, you will lose both.
- Unpaid emails: Emails are often the most important form of business communication.
- Relying on a single backup One advance payment is better than none, but it is not enough.
- No encryption: if someone steals the deposit, they will obtain all your data
- Never-tested refurbishment: the most serious error that manifests at the worst possible moment
How much does proper backup cost?
For a company with 10 employees and a basic server:
- NAS equipment: one-off cost of 15,000-25,000 Kč
- Cloud backup: 1,000-3,000 Kč per month
- Setting and configuration: 3 000-8 000 Kč one-off
In total, therefore, approximately 20 000 Kč as a one-off cost and 1 000-3 000 Kč per month. Compare this with the cost of data loss, restoring accounting records, lost contracts, damaged reputation. The deposit is insurance that always pays off.
